Add a Witness

Steps for notaries to add a witness to a document during a web session.

🎯Primary Audience: All Notaries

Definition: Includes all 3 notary groups: Independent Contractors (Notary Network), Bring Your Own Notary (BYON), and Entrepreneurial Notaries (Independent notary businesses bringing transactions to Notarize).

Need to Know

Once the signer has signed, ask the witness to confirm they observed the signer sign the document prior to adding the witness to the session (allowing them to add their signature as a witness, if required):

  • “Did you observe the signer sign the document in your presence?”

Procedures

Click "Add a Witness", then click the device the witness is using and follow the remaining steps to guide.

   

Computer (Web Browser)

  1. Instruct the witness to fill in their name and address, then click "ADD WITNESS".
  • The witness must enter the information and check the box which indicates they agree to the Notarize Terms of Use and Privacy Policy. The signer cannot complete this information for the witness.
  • The witness's name is automatically added to the list of signers.
  1. Confirm that the witness's name is selected in order for the witness to be able to add their signature.
  2. Instruct the witness to click on the document next to the blue pointer and to select "Signature" from the menu.
  3. Instruct the witness to select 'text-based' or 'handwritten' signature:
  • "For ‘text-based signature’ you will type your name to create a text equivalent of your signature”.
  • “For ‘handwritten signature’ you will need a blank white piece of paper and pen”.
  1. Instruct the witness to choose a different font than the signer and to click "I agree", then "Create and Apply".
  2. Instructs the witness to click next to the blue pointer and choose "Text" from the menu to add their typed name under the line. At this point, the witness should type their printed name.
  3. Repeat for additional witnesses, as needed.

iOS

  1. Instruct the witness to fill in their name and address, then click "SAVE".
  • The witness must enter the information and check the box which indicates they agree to the Notarize Terms of Use and Privacy Policy. The signer cannot complete this information for the witness.
  • The witness will see their name at the top of the screen. This signifies that they currently have the "pen".
  1. Instruct the witness to click on the document next to the blue pointer and to select "Signature" from the menu.

  • The witness can sign with their finger or using a stylus (if they have access to one)
  1. Instruct the witness to click the checkmark at the bottom-right corner to add their signature to the document:

  • The witness can adjust the size of their signature or delete it from the document by clicking on their signature. Options appear above their signature (Delete / Larger / Smaller).
  1. Instruct the witness to click the document next to the blue pointer and choose "Full Name" from the menu to add their name under the line.

  2. Repeat for additional witnesses, as needed.

Andriod

  1. Instruct the witness to fill in their name and address, then click "ADD WITNESS".
  • The witness must enter the information and check the box which indicates they agree to the Notarize Terms of Use and Privacy Policy. The signer cannot complete this information for the witness.
  • The witness will see their name at the top of the screen. This signifies that they currently have the "pen".
  1. Instruct the witness to click on the document next to the blue pointer and to select "Signature" from the menu.

  • The witness can sign with their finger or using a stylus (if they have access to one)
  1. Instruct the witness to click "AGREE + CONTINUE" at the bottom-right corner to add their signature to the document:

  • The witness can adjust the size of their signature or delete it from the document by clicking on their signature. Options appear above their signature (Delete / Larger / Smaller).
  1. Instruct the witness to click next to the blue pointer and choose "Text" from the menu to add their typed name under the line. At this point, the witness should type their printed name.
  2. Repeat for additional witnesses, as needed.
